Booking a Test, Quiz or Exam in the Exam Centre

If you have test accommodations approved for the current semester, and you want to apply them to an in-person quiz, test or exam, you must book with the  SAS Exam Centre using the SAS Student Portal. The Exam Centre is located on the second floor of the McLaughlin Library.

Managing Your Test, Quiz or Exam Bookings

To make a booking, you'll need to know the date, starting time, length (minutes) and format of the exam (e.g. multiple choice or essay format). Check your course outline for these details. 

Scheduling Your Exam Bookings

In-Person tests, quizzes and exams:

  1. Ensure you have an approved exam accommodation. This request is made via your SAS Advisor. 
  2. Login to the SAS Student Portal and book your exam. View our videos and guides for details on how to make a booking using the SAS Student Portal.

Online tests, quizzes and exams:

  1. If the class is writing online only (not in person), you will write this in the same format as the class unless you have an accommodation that says otherwise. Time accommodations are automatically applied to CourseLink exams. 

Changing or Cancelling Your Exam Booking 

If you drop a course, have a change in your health, or for any other reason no longer require a booking, you must cancel it. Log in to the SAS Student Portal, click on "Alternative Testing", and click on "cancel" where appropriate. 

SAS charges a $30 no-show fee when a student does not appear and the booking is not cancelled.

Check the Status of Your Booking Request  

  • Processing: This message means that the Exam Centre has received your booking but has yet to verify the details and assign you a seat. The exam details have been received and are being reviewed for accuracy 
  • Approved: The exam details have been confirmed and booked by the deadline 
  • Cancelled: Exam has been cancelled (ie. dropped course, exam online, writing with the class etc)

Deferred Exams: 

If you have been approved for a deferred exam, you will receive an official email from the Registrar’s Office. Read the information carefully. You must email sasexams@uoguelph.ca 7 days before your exam date with your intent to write at the SAS Exam Centre. 

When is my deferred exam?

What will be the format of my deferred exam? 

Be sure to read the exam schedule carefully as some exams will be conducted in person, and some exams will be conducted online. 

Online Exams: If you are registered with SAS and the exam is scheduled to be online, we will notify your instructor if you have additional time as an accommodation. If you require any other accommodations, please email your SAS Advisor or sas@uoguelph.ca for assistance. 


Exam Booking Deadlines

These deadlines are necessary to acquire the exam copy, ensure sufficient staff, and arrange appropriate seating/accommodations. 

  • The general deadline to book with the SAS Exam Centre for in-person quizzes, tests, midterms, and finals is 10 business days in advance of the evaluation date.  
    • Do NOT count the day of the evaluation. 
    • The 10 business days starts today and finishes the day BEFORE the exam. 
    • There is also a semester cut-off deadline: the first business day in March (winter), July (summer), or November (fall). No bookings can be accepted after this date 
    • The cut-off time for making a booking each day online is 11:55 PM 
  • For midterms and tests, bookings must be made at least 7 days in advance of when the class writes, or by the 40th class day, whichever comes first. 
  • For deferred exams, bookings must be made at least 7 days before the exam is scheduled. You must email sasexams@uoguelph.ca 7 days before your deferred exam date with your intent to write at the SAS Exam Centre. If you receive the official email notification after the booking deadline, you must forward it or within 72 hours (or 24 hours in the proposed update).

Steps to make a booking using the SAS Student Portal 

Business Days and Holidays: 

  • A business day is Monday to Friday, except days the University is officially closed (holidays), Reading Week (Tue-Fri) and Fall Study Day are regular business days. 
  • Saturdays are NOT business days, even if the Exam Centre is open. 
  • If campus is closed due to severe weather, it's still a business day for making bookings remotely. 
  • Holidays impacting exam bookings are Thanksgiving (Fall), Family Day (Winter), Good Friday (Winter), Victoria Day (Summer), Canada Day (July 1st - Summer), and Civic Holiday (Summer). 

Late Exam Bookings: 

Late Exam Requests are NO LONGER accepted by the SAS Exam Centre. If you miss the deadline, your options include: 

  • Check your course outline for what happens when a deadline is missed or a course requirement cannot be fulfilled.  
  • Considering if you have grounds to defer the exam, a program counsellor can assist. 
  • Reaching out to your SAS Advisor to discuss next steps; they cannot change the late request status but can help plan.  
  • Being prepared to write the test/exam with the class without your accommodations. 
  • Attending the Daily Drop-In for assistance with the booking process and future bookings.

Alternate Scheduling:

If you need alternate scheduling of a test or exam, and it is: 

  • A disability-related accommodation must first be approved by your SAS Advisor in keeping with the documentation we have on file.
  • The result of extra time accommodations causing two tests or exams to overlap, then you would typically ask your instructor for permission to start early on the first one. Your writing time must still overlap with when the class is writing.
  • To make time for religious observance, then please follow the procedures outlined in your academic calendar (here is the policy for undergraduate students).

For disability-related needs, please email your instructor and copy your SAS Advisor. You may ask for assistance from SAS if required. 

Approval from the instructor is required to make a change to the date and/or time of an exam and needs to be provided to the SAS Exam Centre by the exam booking deadlines.

Note that for deferred exams, if you have a conflict with a test or midterm, the deferred exam must take priority.
